JALA is looking for Distribution Operational Executive who will be responsible for managing purchase administration, sales order processing, inventory control, and operational reporting. The role ensures accurate documentation, timely coordination with suppliers and customers, effective stock monitoring, smooth delivery processes, and reliable reporting to support efficient business operations.
Roles & Responsibilities
  1. Purchase Management a. PO Administration Process: Create, send, and properly archive Purchase Orders (PO) to suppliers in a timely manner. b. Supplier Coordination: Maintain communication with vendors regarding delivery schedule confirmation and product stock availability. c. Receiving Verification: Ensure that received goods match the specifications, quantity, and quality stated in the PO.

  2. Sales & Order Processing a. Sales Order Processing: Input and verify incoming customer orders into the system. b. Delivery Scheduling: Arrange delivery priorities and schedules to ensure goods reach customers according to the agreed lead time. c. Delivery Documentation: Prepare all delivery-related supporting documents (Delivery Order, Invoice, etc.) accurately.

  3. Inventory Control a. Inventory Updates: Record inventory movements (inbound/outbound) in real time to maintain accurate stock data. b. Delivery Tracking: Monitor the status and location of goods during distribution until received by the customer (POD – Proof of Delivery). c. Stock Reconciliation: Conduct regular checks between system records and physical stock in the warehouse (stock opname).

  4. Reporting a. Operational Reports: Prepare daily/weekly/monthly reports related to purchasing and sales volumes. b. Issue Evaluation: Report any product returns, delivery delays, or product damage occurring during the distribution process. c. Digital & Physical Filing: Manage transaction databases in an organized manner to facilitate audits and data tracking.

Skills & Capabilities
  1. Education: Minimum Bachelor’s degree (S1), preferably in Industrial Engineering, Logistics Management, or a related field.

  2. Technical Skills a. Proficient in using Microsoft Office, especially Microsoft Excel (VLOOKUP, Pivot Tables, etc.). b. Good understanding of supply chain processes and general ERP/Logistics systems.

  3. General Competencies a. Able to work effectively both independently and as part of a team. b. Detail-oriented in documentation and reporting. c. Possess strong communication skills for coordination with suppliers and customers.
